The American Civil Liberties Union (ACLU), a national organization devoted to the Defense of the Bill of Rights, is seeking an experienced operations manager with knowledge of all aspects of database management, gift processing and member/donor services for the position of Associate Membership Director of Operations to oversee a 10-person operations team. The Associate Membership Director for Operations reports to the Deputy Director of Development, and will manage the department and staff responsible for depositing, recording and acknowledging gifts and contributions to both the ACLU and the ACLU Foundation.

ROLES AND RESPONSIBILITIES
 Ensure the timely and accurate entry and maintenance of gift and donor information.
• Maintain accurate records for a database of 1,500,000 records.
• Manage relationships with outside gift processing vendors.
• Set and adhere to data processing schedules.
• Establish and maintain data hygiene standards for all membership records.
• Work with appropriate staff in the Development Department to set up and maintain smooth data management processes, retrieval procedures and reporting.
• Develop and oversee system for improved member and donor services.
• Supervise and coordinate activities of staff responsible for the ACLU Development Department’s gift and data entry, a total of approximately 800,000 gifts a year from small membership gifts to large foundation grants and stock gifts.
• Manage outside vendors including lock box, EFT processors, etc.
• Manage member services and develop protocols to ensure timely, accurate and friendly communications with ACLU members and donors.
• Work with accounting department to balance deposits and income, set up bank accounts, etc.
• Supervise staff and assign duties to ensure efficient operation and implementation of all data processing, acknowledgment and donor services both in and out of house.
• Audit procedures to ensure that work is being accomplished on the schedule, with the accuracy and quality expected by the ACLU. Review the work of operations staff to ensure uniformity of data processing and coding; review and edit data as necessary to ensure completeness and accuracy of information.
• Develop and prepare reports as needed.
• Prepare and manage budget for data processing program, member services, and acknowledgement fulfillment.
• Develop, coordinate, and monitor timelines and calendars for Membership Department.
• Participate in the establishment and implementation of short and long-range goals, objectives, policies, and operating procedures.
• Serve in conjunction with other Development Department staff as primary contact for fundraising software firm and IT staff.
• Consult and assist direct marketing staff on data-related issues.
• Review status of data hygiene and implement processes and procedures for improvement and maintenance.
• Respond to member and donor inquiries as needed.
• Other related responsibilities as assigned.

EXPERIENCE AND QUALIFICATIONS
• Proven success in the management of non-profit data management programs.
• Extensive experience in the use and implementation of fundraising databases.
• Demonstrated ability to manage, motivate and supervise staff.
• Excellent writing and communications skills.
• Excellent analytic skills.
• Ability to recruit, hire and train permanent and temporary staff.
• Must have the ability to work well under pressure.
• Thorough working knowledge of a wide range of standard computer applications including Microsoft Word, Excel and Outlook.
• Ability to multi-task and to set priorities.
• Bachelor’s degree preferred.
• Must take the initiative to meet deadlines and complete projects as necessary.
• Commitment to the mission and goals of the ACLU.
